Announcing workspace members, with editor and admin roles
Invite your team into a shared workspace and give each person an editor, admin or viewer role over your charts, sheets and dashboards.
Teams are now built into every InstaCharts workspace
Workspace members are now live! You can invite the people you work with into an InstaCharts workspace and give each of them a role that decides what they can do with your data. Editors build charts alongside you, admins help run the workspace, and viewers read the results.
Everything in a workspace is shared with its members: the sheets you upload, the charts built from them, the dashboards that combine them, the folders you organize them into, your brand colors, and your shared image assets. One person uploads a sales export in the morning and a teammate builds the chart from it that afternoon, working from the same file.
Members are managed per workspace, so the same person can be an editor in your marketing workspace and a viewer in your finance workspace. Everyone sees the workspaces they belong to in the workspace switcher at the top of the left sidebar.
TLDR: Sign up for a free account, upgrade a workspace to a paid plan, and open the Members page to send your first invite.
The four roles
Each member holds one role in the workspace. They are:
| Role | What they can do |

| Owner | Full control of the workspace, including billing, deleting the workspace, and everything an admin can do. The owner is the account that created the workspace. |
| Admin | Manage members and invites, change workspace settings, brand colors, shared assets and chart defaults, and create or edit any sheet, chart or dashboard. |
| Editor | Create, edit and delete sheets, charts and dashboards. Editors work with the data and leave workspace administration to the owner and admins. |
| Viewer | Read only access to the charts, sheets and dashboards in the workspace. Helpful for sharing data and charts with clients. |
Sending an invite
Open Members in the left sidebar of your workspace and click Invite Member. The invite dialog asks for three things:
- Email address of the person you are inviting
- Role they will hold when they join, which starts at viewer
- Message, an optional personal note that goes into the invitation email
Your teammate gets an email with an accept link that is valid for seven days. If they already have an InstaCharts account, accepting adds them to the workspace immediately. If they are new, they create a free account with that same email address first, then accept. Invites you have sent sit under the Invites tab until they are accepted, and you can cancel one there at any time, which turns off the link in the email.
Managing members after they join
The Members tab lists everyone in the workspace with their name, email and role. Owners and admins can change a member’s role from the dropdown in the role column, and can remove a member from the row on the right. A removed member loses access to the workspace right away.
Seats and pricing
Paid plans are billed per seat, and a seat belongs to the workspace rather than to your account. The workspace owner, every admin and every editor uses one seat at the workspace’s plan price. Viewers are free, with up to five of them per paid workspace, counting both viewers who have joined and viewer invites still waiting.

A seat is added to the workspace’s subscription as soon as someone joins as an admin or editor. Moving that person to viewer or removing them takes the seat off the subscription and credits the unused time to your next invoice.
Monthly tasks and AI credits are pooled per workspace and grow with the seat count. Ex: a three seat Pro workspace shares 15,000 tasks and 300 AI credits a month across everyone in it. Full plan details are on the pricing page.
Inviting members requires a paid workspace, starting on the Starter plan. If a workspace’s subscription ends, the workspace returns to the Free plan and its admins and editors become viewers, which keeps their access to the work they helped build.
How teams are using it
- Agencies put one workspace per client, with the account team as editors and the client as a free viewer on the dashboard that replaces the monthly deck
- Marketing teams share one set of synced campaign sheets so every chart in every report reads from the same data
- Finance and operations give analysts the editor role to build charts and give leadership the viewer role to read them
- Publishers let writers build charts as editors while an admin holds the brand colors and chart defaults steady across every embedded chart
